Privacy Policy

Effective 27 September 2026

Placeholder — needs review before a public launch. This describes what GreenRoom's code actually collects and where it actually goes, current as of this date. It has not been reviewed by a lawyer and does not yet cover formal requirements like a DPA, GDPR Article 13 disclosures, or a CCPA "Do Not Sell" mechanism if those apply to you. Replace the bracketed fields before relying on this document.

1. What we collect

When you use GreenRoom, we collect:

We do not knowingly collect payment information — GreenRoom does not currently process payments.

2. Where it goes

We share data with the following subprocessors, only as needed to run the Service:

ProviderPurposeWhat they receive
ClerkAccounts, sign-in, organizationsName, email, authentication data
GroqSimulated buyer responses; end-of-session scoringSession transcript text
Video avatar providerLive video avatar and voice (video-mode sessions)Live video/audio during the call
Google Cloud Text-to-SpeechSimulated buyer's voice (audio-mode sessions)Text to be spoken aloud
Neon (Postgres), via Cloudflare HyperdriveStoring your account's session historySession results and scores
CloudflareHosting the application and its infrastructureAll traffic to the Service

We do not sell your data, and we do not use your session content to train our own models. Each listed provider processes data under its own privacy terms; we do not control their retention practices beyond what our own agreements with them specify.

3. How long we keep it

Session history is retained for as long as your account exists, so your coaching trends remain available to you. If you sign in after using the Service anonymously, session history stored locally in your browser is imported into your account once, automatically. You can request deletion of your account and associated session history at any time — see Contact below.

4. Anonymous use

Parts of GreenRoom work without an account. In that case, session history is stored only in your browser's local storage, never sent to our servers, and is lost if you clear your browser data or switch devices. Nothing described in this section changes what still gets sent to the AI providers above during an anonymous session — an account only changes whether the results get saved afterward.

5. Organization visibility

If you belong to an organization on GreenRoom, that organization's administrators may be able to see usage associated with the organization, depending on features enabled for your plan.

6. Security

We use industry-standard measures to protect data in transit and at rest, including encrypted connections to our database and third-party providers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Your rights

Depending on where you live, you may have rights to access, correct, or delete your personal data, or to object to certain processing. Contact us using the details below to exercise these rights.

8. Children's privacy

GreenRoom is a business tool not directed at children, and we do not knowingly collect data from anyone under 16.

9. Changes to this policy

We may update this policy as the Service changes, particularly if we add or remove a third-party AI provider. Material changes will be reflected here with an updated effective date.
